Duties ­ Transaction Related Coordination

Support Corporate Real Estate (CRE) team members with any documentation related to the transaction process flow- such as lease and own acquisitions- dispositions- LOI|s- subordination- non-disturbance- and lease documentation- and notices to exercise lease options- among additional items as directed by CRE team members in accordance with Client|s policies and procedures. More specifically and in addition to the above:
Weekly and monthly reports for the client (including Salesforce Reporting- |Weekly Snippets|- Harborflex and Tririga) in APAC- as per all regions.
Responsibility on financial matters across the full PO-cycle for broker commissions- Due Diligence consulting fees and service charges.
Supporting the Transaction Managers with various reports including board approval presentations- lease reviews and any ad hoc reports.
Prepare- assemble- coordinate- and complete closing procedures of approval packages for lease and own acquisitions- dispositions and NDAs in accordance with Client|s policies and procedures which shall include oversight of project file (hard copy and database) maintenance to ensure all required documentation is included in the file or database.
Interface between functional service line leads (TM APAC- Lease Admin’- FM and PjM) to support team members with information requests and documentation related to the transaction process- as per all regions.
Assist with resolution of landlord/ tenant administration issues.
Track and report on key critical dates for the APAC portfolio including break options and notice periods- upcoming lease expirations and other critical dates to CRE team members.
Prepare and track correspondence for broker engagements- NDA’s and Conflict of Interest declaration|s (where required) including on-account monthly forecast of commission tracking and collection in region only.
Regular (daily/ weekly) communication with the US Account Team is essential to ensure consistency with the client processes and procedures to support Master Service Agreement (MSA) governance- compliance and contract measurement.
Maintain Playbooks- process and role mapping.
Duties may be assigned from time to time

General requirements;

Minimum 3 years experience in relevant area
Basic business understanding – P&L- business reporting
Intermediate to advanced skills in Microsoft Office Suite and GSuite
Experience of working with Tririga or Salesforce would be considered an advantage

To handle all matters relating to the maintenance- security and management of
the Building.
Duties of the above include the followings:
General administration of all building works/ service contracts- carpark management and security- carpark management and fire protection system.

Ensure proper control of movement of keys to all common areas and maintain proper records.
Assist in budget forecast- preparation- attending meetings- preparation of materials necessary for the meetings and minutes of meetings.
Preparation of all necessary maintenance reports- incident report accurately and on time.
Attending to all emergencies situations at any time promptly.
Constantly check for compliance of all safety equipment- work methods and procedures and the prompt rectification of any unsafe situations- and enhancement of security of the Building.
Any other duties assigned to you by your superiors and the Management from time to time.

Job Requirements:

Degree/ Diploma in Building / Estate management or relevant discipline
Minimum 2 years’ experience in similar role
Possess good communication skills and be able to front and liaise with all levels of Owners/tenants

JOB SUMMARY
The Estate Manager will be responsible for day to day management of the Client (a large multinational bank) portfolio under CBRE Estate Management team- managing the returning/handover of leased sites to Landlords- processing associated documentation- negotiating new licences and easements- arranging lease renewals with the landlord- undertaking lease surrenders at the expiry of the lease- working with the CBRE teams to undertake portfolio optimization initiatives and keeping and storing accurate files.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Lead a team of Estate Managers responsible for the Singapore portfolio
Lease renewal or extension of current contracts without rent challenge or negotiation
Sublease Renewal where no marketing and only minor negotiation required
Lease termination (lease disposal which does not involve negotiation with landlord for e.g. executing end of term termination- executing a right to terminate

Purchase options/right of first refusal (advice regarding an existing option/right

Monitoring all lease critical dates to ensure that all Client contractual obligations are me

Develop relationship and work closely with Client- Internal or external Legal- Client Real Estate team- Audit/ Operational Risk and Client’s supply partner

Develop initiatives at country level
Managing the handover of Client assets on owned and leased property with support of FM
Performing site inspections (as needed)
Prepare business approval documents and related financial analysis
Managing the eviction process for delinquent lease-out tenants (at Client’s instruction)
Ensure consistent application of property management standards
Raise invoice to client on monthly basis ( not relevant to all countries)
Organize and manage property revaluation (as when required)
Support Country/ Sub-regional Lead in preparation of budget and forecast exercises
Support Country/ Sub-regional Lead in audits- reporting- portfolio planning and finance management.
Build good relationship with Client landlords/ tenants and resolve Estate Management issues.
Document Estate Management activities with designated software or reporting formats
Ensure payments are as per contract obligations
Review and approve lease abstracts form created by Analyst / Lease admin team (where applicable). Review and approve updates created by Portfolio Administration
Primary “go to” point for the Shared Services Hub/ Finance and lease administration team (where applicable)
